Summary of Duties:
Under general supervision, the Administrative Support Supervisor provides direct supervision of assigned staff and performs a variety of complex clerical tasks, including budget development and monitoring; performs related work, as required.

Supervises, instructs, schedules, reviews and evaluates work activities of support staff; makes hiring, dismissal, and disciplinary recommendations.
Provides administrative support to assigned management and staff; coordinates travel arrangements for department staff.
Provides general customer service; responds to concerns and inquiries; provides department related information; resolves problems related to general department services.
Tracks professional licenses, certifications, and association fees for all staff; initiates payments; enrolls staff into training courses.
Purchases supplies and equipment for the office; creates purchase orders; reviews invoices for accuracy.
Assists in developing and coordinating the departmental budget; monitors expenditures; makes budget related recommendations.
Prepares City Council agenda items; works with management to develop ordinances.
Attends and participates in various meetings.
May audit cash drawers and cash reports.
Regular and consistent attendance for the assigned work schedule is essential.
Marginal Duties:
Performs other duties as assigned Typical Decisions:
Position requires independent judgment on work priorities and deciding how issues should be addressed; provides solutions, formulates procedures and develops strategy for implementation.
The incumbent must establish performance measures for support staff and evaluate employee performance against those standards of measure.
Minimum
Qualifications:
Knowledge of:
Principles and practice of effective supervision; general office procedures; departmental organization, functions, policies and procedures; budget development and management.
Skill in:
Communicating clearly both verbally and in writing; operating a personal computer, standard software, and some specialized software; completing basic mathematical calculation; completing multiple tasks simultaneously; developing and monitoring budgets.
Education:
High school diploma or GED equivalent.
Experience:
Four (4) years of progressively responsible experience providing managerial staff support, which includes some project management experience.
Any work related experience resulting in acceptable proficiency levels in the above Minimum Qualifications is an acceptable substitute for the above specified education and experience requirements Licenses and Certifications:

Conditions of Employment:
Must pass a drug test, criminal history background check, periodic CJIS background check (for positions requiring access into Police buildings) and social security number verification check.
Physical Demands and Working Conditions:
This is primarily an office classification although standing in work areas and walking between work areas may be required.
Finger dexterity is needed to access, enter, and retrieve data using a computer keyboard or calculator and to operate standard office equipment; vision to read printed materials and a computer screen; hearing and speech to communicate in person and over the telephone.
Positions in this classification occasionally bend, stoop, kneel, reach, push, and pull drawers open and closed to retrieve and file information.
Employees may be required to lift, carry, push, and pull materials and objects weighing up to 25 pounds.
Employees work in an office environment with moderate noise levels, controlled temperature conditions, and no direct exposure to hazardous physical substances.
Employees may interact with upset staff and/or public and private representatives in interpreting and enforcing departmental policies and procedures.

The check can be for multiple reasons such as signing bonus, supplies, etc. The victim will be instructed to deposit the check and use the money for any of these reasons and then instructed to send the remaining funds to the fraudster. The check will bounce and the victim is left responsible.
