Job Details The nationally accredited and award-winning, Plano Parks & Recreation Department is seeking a detail-oriented and resourceful individual to fill the position of Administrative Coordinator.
The Parks & Recreation Administrative Coordinator works directly with the Director, providing executive-level administrative support and coordination.
The ideal candidate will coordinate with Administrative Assistants within the department that are assigned to the Recreation, Parks, Park Planning, and Plano Event Center divisions to provide daily support to the Parks & Recreation leadership team.
They also support and coordinate workflow with other Departments within the City, ensuring exceptional service delivery for internal and external customers alike.
They also directly support and interact with Council-appointed Parks & Recreation Planning Board members and the non-profit, Plano Parks Foundation.

Distinguishing Characteristics:
This is the advance, journey-level classification in the Administrative Assistant series.
The incumbent performs or coordinates tasks and activities for multiple work units or departments.
Methods require development and use of initiatives and resourcefulness in developing processes and procedures.
Works under indirect supervision, conferring with supervisor on unusual matters.
This classification is distinguished from the Administrative Assistant, Senior position in the latter does not report to a department director and has limited responsibility for multiple programs.

Performs a variety of complex tasks for multiple organizational units, programs, and/or special projects.
Preparing reports or documents, analyzes data, researches alternatives, and makes recommendations to ensure efficient departmental operations.
Compiles and generates data for various daily, weekly, and monthly reports; generates reports utilizing various computer software programs.
Reviews administrative procedures, analyzes alternatives, and makes recommendations to improve departmental services.
Maintains appointment and meeting calendars; prepares travel arrangements as needed.
Screens calls and visitors; provides information externally and internally; receives, sorts, and distributes mail as appropriate.
Performs various administrative tasks requiring tracking, interaction, and coordination with department staff.
Maintains departmental records, files, and retention plan.
Assists in the development, implementation and monitoring of department budgets.
Coordinates invoices and check requests; assigns account codes and submits for payments; maintains account balances; processes purchases, personnel, and payroll related documents.
Assists citizens and customers with general information; resolves problems related to general departmental services.
Prepares agenda item for City Council and other meetings.
Regular and consistent attendance for the assigned work schedule is essential.

Minimum
Qualifications:
Knowledge of:
Department policies and procedures; budget management and development principles and practices; customer service etiquette; general office practices and procedures; basic accounting procedures; conflict resolution methods and techniques.
Skill in:
Communicating clearly both verbally and in writing; working independently and as part of a team; operating a computer and related software to include word processing and spreadsheet application; prioritizing and completing multiple tasks simultaneously; Education:
High school diploma or GED equivalent.
Experience:
Five (5) year of progressively responsible clerical experience which includes some experience providing direct managerial staff support.
Any work related experience resulting in acceptable proficiency levels in the above Minimum Qualifications is an acceptable substitute for the above specified education and experience requirements Licenses and Certifications:

Conditions of Employment:
Must pass a drug test, criminal history background check, periodic CJIS background check (for positions requiring access into Police buildings) and social security number verification check.
Physical Demands and Working Conditions:
This is primarily an office classification although standing in work areas and walking between work areas may be required.
Finger dexterity is needed to access, enter, and retrieve data using a computer keyboard or calculator and to operate standard office equipment; vision to read printed materials and a computer screen; hearing and speech to communicate in person and over the telephone.
Positions in this classification occasionally bend, stoop, kneel, reach, push, and pull drawers open and closed to retrieve and file information.
Employees may be required to lift, carry, push, and pull materials and objects weighing up to 25 pounds.
Employees work in an office environment with moderate noise levels, controlled temperature conditions, and no direct exposure to hazardous physical substances.
Employees may interact with upset staff and/or public and private representatives in interpreting and enforcing departmental policies and procedures.

The check can be for multiple reasons such as signing bonus, supplies, etc. The victim will be instructed to deposit the check and use the money for any of these reasons and then instructed to send the remaining funds to the fraudster. The check will bounce and the victim is left responsible.
